At Optimize Tax LLC (“optimizetax.io,” “we,” or “us”), we provide tax preparation and Tax Planning services to individual customers. And to Business Customers we provide Business Tax, Bookkeeping, Business formation and Payroll services.
This Privacy Policy applies to data that we collect about you to provide services when you use:

Information you provide to us
Basic Account Information:
When the Customer (“You”) decides to obtain the services offered by optimizetax.io, they will be prompted to sign-up for the required services by providing the personal information. This information includes details required to register as potential optimizetax.io Customer, renew or cancel the Service. The personal identification information (also known as “PII”) includes Primary name, address, email address, telephone number, tax identification numbers, License and birth date etc.). It is our policy that the information you provide is kept private and confidential. The PII information is encrypted with secure server software to protect it from unauthorized access.
Information required to render Services:
You have decided to use our service and successfully signed-up creating the account which is the prerequisite, we will collect and store Personal Information to help you in preparing the individual or business tax returns with the government organizations. To effectively process your order or service request, optimizetax.io needs to know specific information, such as your name, your family member’s names, e-mail address, mailing address, credit card number, tax identification numbers and telephone number. Apart of this information, we will also collect documents provided by your employers, bank statements, Government issued documents, receipts, mortgage statements, daycare provided statements etc. And for the purpose and filing your business tax return, we need to know the registration details, officer information, residential status, bank statement money spent towards certain expenses and investments, retirement plans contributions, spouse and dependent information etc. For the purpose of forming your business, nonprofit, corporation or limited liability company (LLC), trust, estate etc. we need to know the following information: the name you want your business entity to have, a brief description of the purpose of your business, the name and address of the corporation or registered agent, the name and address of the directors and officers of your corporation or members or managers for an LLC, how many shares of stock your corporation will be authorized to issue and the par value of such stock etc. It is our policy that the information you provide is kept private and confidential. All order information is encrypted with secure server software to protect it from unauthorized access.
Participate in Research/Feedback
We may contact you to participate in market research through the company website optimizetax.io or third-party website using your email address. The participation is not mandatory and is totally under your discretion. If you decide to participate, you may be asked to provide certain information to improve the service or offer new products or services. The information requested could be both personally identifiable and non-personally identifiable information.
- Communications with Us: You may also provide us information when you respond to surveys through email or social media, communicate with interactive forms requesting for discount codes or , post a question, or sign up for a newsletter. When you communicate with us via form, email, phone, website otherwise, we store a copy of our communications. Any content you provide on the public sections like social media will be considered “public” and will not be subject to the privacy protections referenced herein.
- Transactional Information: We and our third-party service providers may Process your financial and payment card information to facilitate a transaction that you request.

If you have opted to login through the third-party login service (like Google) we may collect information about you from that third-party application that you have made available via your privacy settings. We use information about you as mentioned above and for the purposes listed below:
- The use and disclosure of Tax Return Information is governed by Section 301-7216 of the Internal Revenue Code and many state codes and regulations. We use your Tax Return Information only in accordance with applicable laws, such as to prepare, assist in preparing, or obtain or provide services in connection with preparing your tax return; to provide you with the products and services you specifically request or consent to and other uses or disclosures as you expressly consent to from time to time; or as required by law.
- We use registration information and other information you provide to complete orders, to research and address any questions or problems submitted through our technical support and customer service systems, to send you technical notices, updates, and security alerts, as well as to notify you if there are issues with your order or when new/enhanced products and services become available.
- To measure, gauge, and improve the effectiveness of our advertising, and better understand user retention and attrition — for example, we may analyze how many individuals purchased a paid plan after receiving a marketing message or the features used by those who continue to use our Services after a certain length of time.
- To monitor and prevent any problems with our Services, protect the security of our Services, detect and prevent fraudulent transactions and other illegal activities and fight spam.
- To communicate with you, we may email you to solicit your feedback, share tips for getting the most out of our products, or keep you up to date on optimizetax.io or call you to share offers and promotions that we think will be of interest to you. If you don’t want to hear from us, you can opt out of marketing communications at any time.
- We may use your registration information to show you tailored experience, to send you marketing messages, or if you choose to use our referral service to tell a friend about our site, we will send your friend an email inviting him or her to visit the site.

In certain situations. optimizetax.io may be required to disclose personal data in response to lawful requests by public authorities, including to meet national security or law enforcement requirements. We also may share information about you as follows – To taxing authorities, law enforcement, government agencies and others if we believe disclosure is in accordance with any applicable law, regulation or legal process, or as otherwise required by any applicable law, rule or regulation.
- Third Party Vendors: We may employ independent contractors to provide specific services and products related to our service or information, such as tax preparation and planning, customer care (call, and support centers), back office management, research and knowledge management; hosting services and maintenance of our website/platform ,VOIP, data storage, fraud screening, and developing applications for our Service, Information, websites or e-mail accounts. During providing products or services to us, these outside contractors may sometimes have limited access to information collected on the Service, including personally identifiable information. We sign Confidentiality Agreement with these outside contractors and require that these contractors (1) protect the privacy of personally identifiable information consistent with this Privacy Policy, and (2) not use or disclose Information of optimizetax.io or personally identifiable information of any Persons using optimizetax.io Service or Information for any purpose other than providing us with the products or services for which we contracted and without written consent being obtained from us for usage or such information, either directly or indirectly.
How Long We Keep Information
We generally discard information of your tax return information after seven years. We will retain the personally identifiable information as long as you use our services. for the purposes for which we collect and use it — which are described in the section above on How and Why We Use Information — and we are not legally required to continue to keep it.
Security
While no online service is 100% secure, we work very hard to protect information about you against unauthorized access, use, alteration, or destruction, and take reasonable measures to do so, such as monitoring our Services for potential vulnerabilities and attacks. To the fullest extent permitted by applicable law, we do not accept liability for unintentional disclosure
To enhance the security of your account, we encourage you to enable our advanced security settings, like Two Step Authentication.
Choices
You have several choices available when it comes to information about you:
- Limit the Information that You Provide: If you have an account with us, you can choose not to provide the optional account information, profile information, and transaction and billing information. Please keep in mind that if you do not provide this information, we are unable to provide you the service.
- Opt-Out of Marketing Communications: optimizetax.io may occasionally notify you of our or our partner’s new services and special offers via periodic mailings or e-mail updates, or a referral or an introduction while requested by you via writing or in an face to face meeting or telephonic conversation. For all e-mail-based marketing communications individuals on our database are automatically enrolled for our e-newsletter and email-based promotions. If you are receiving these materials and would like to be removed from our list, please send an e-mail to privacy@optimizetax.io.
Note, however, that even if you opt out of receiving marketing communications, we will still contact you for non-marketing purposes (like those about your account and legal notices.)
Security Measures
We work to protect your personal information from loss, misuse, or unauthorized access, alteration and destruction by using industry standard safeguards, procedures, and practices. These safeguards include physical, logical and technical protections for physical security; information security; and additional measures to restrict access to data we hold in physical and electronic forms. For example, we restrict access to personal information to those on a need to know basis and we encrypt credit card information when it’s transmitted to us. Your access to the Services is password-protected with complex password requirements, security questions, and authentication by email or mobile phone. You should use a unique password and should not share your password with anyone.
Updating or deleting your information

We do not share individuals or business Personal Identification Information with third parties for their marketing purposes without the consent of the Customer
Children’s Privacy
Under Age 13
optimizetax.io does not knowingly solicit or collect personally identifiable information online from children under the age of 13 without prior verifiable parental consent. If we learn that a child under the age of 13 has submitted personally identifiable information online without parental consent, we will take all reasonable measures to delete such information from our databases and not use such information for any purpose (except where necessary to protect the safety of the child or others as required or allowed by law).
Under Age 18
Personal information that has been provided to optimizetax.io through the Sites by minors under the age of 18, can be deleted by sending an email requesting the deletion to privacy@optimizetax.io Please note that while we make reasonable efforts to comply with such requests, deletion of your personal information does not ensure complete and comprehensive removal of that data from all systems.
